To create a new invoice, click on "Create new invoice" at the top right of the "Income" section or on your dashboard.
If you haven't added any clients yet, you will need to first complete your client's details by clicking on "New client." You must provide all the information about your client (full name, address, and NIF/registry code if they are a professional autónomo or company). If you have already added clients, simply choose the one you want by clicking on "Choose client."
In the invoice, you can edit:
- Invoice number
- Date
- Due date
- Currency
- Bank account displayed on the invoice
- Late payment interest rate (can be 0% if not applicable)
- The activity for which you are creating this invoice (only if you have more than one activity registered)
Add a detailed description of the invoice. From the description, it should be clear that the incoming money is related to your freelance activity. Feel free to add the project name or number or other relevant details. If necessary, use the 'additional comments' field to add additional details about the invoice. The more details your invoice has, the easier it will be for the platform to include everything correctly in your tax returns.
IMPORTANT! Xolo's invoicing solution automatically calculates the required taxes (VAT, IRPF) based on all the data added previously, meaning you don't have to manually calculate VAT or IRPF.
Once you have added all the details, click on "Save Draft" and review it. If the invoice looks correct, click on "Create final invoice" in the top right corner and add your client's email address (if you haven't already). You can also add a message and attachments to your client directly in the invoice generation tool.
You also have the option to send the pro forma invoice if your customer wants it before creating the final invoice. However, be careful because if you don't create the final invoice, it won't be considered in your "Taxes" section.
Once everything is ready, click on "Send." Your client will receive the email instantly.
